Important Reminder When You’re Clocking In and Out of Your Client Visits

Dear Team:
This is a friendly reminder that, as required by federal law under the electronic visit verification (EVV) program, you are required to clock in and out of your client visits and that there are only two acceptable ways to do that.
You can either…
- Use the HHAeXchange (HHAx) mobile app on your mobile phone.
Or…
- Dial in using your client’s phone. (It is very important that you DO NOT use your personal cell phone when using the dial in method to clock in and clock out from your client’s home.)
If you are not doing so already, please begin using the HHAx app on your phone or make sure that your client(s) have a working telephone that will be available to use for clocking out. If you need help downloading the HHAx app, click here.
If you do not have the HHAx app on your phone and you choose to dial in with your client’s phone, please keep in mind that you should NOT ACCEPT A CLIENT CASE who does not have a phone or if the client will not allow you to use their phone.
Paper time sheets are not an acceptable way to clock in and clock out of your client visits!
- If you do use a paper time sheet, you may be pulled from your current client cases for not complying with the electronic visit verification (EVV) policy.
- If you must use a paper time sheet for any reason, it cannot be submitted by fax.
- The use of any paper time sheets will require you to come into VNS Health’s Personal Care office at 5 Penn Plaza and obtain your supervisor’s approval.
- The use of a paper timesheet will cause a significant delay in processing your paycheck.
